How to Prepare an MCT Oil RFQ: What to Include for Accurate Pricing

Most MCT oil enquiries get a slow answer for a simple reason: the buyer asked for a price without giving the manufacturer enough information to calculate one. A quotation for 1 kg of samples and a quotation for a full container of pharmaceutical-grade drums are different documents, built from different specifications, different packaging and different lead times. When the enquiry does not say which one it is, the supplier has to guess — and a guessed quotation is either late or wrong.

This article lists what a manufacturer actually needs in order to quote MCT oil accurately. It is written for ingredient buyers, sourcing managers and R&D purchasers who want a usable number on the first reply instead of a week of follow-up questions.

What a Manufacturer Needs Before It Can Quote

A workable RFQ contains eight pieces of information. None of them is complicated, and most buyers already know the answers — the failure is usually omission rather than knowledge.

  • Product and grade. Say which family you are buying: MCT oil, MCT powder or one of the emollient esters — and which grade. Our MCT oil range covers food-grade MCT oil, pharmaceutical-grade MCT oil, cosmetic-grade caprylic/capric triglyceride (GTCC), food-additive-grade ODO and glyceryl trioctanoate (pure C8).
  • Fatty acid profile. The C8:C10 ratio — 60:40 or 70:30 — or pure C8. This single line decides which grade is quoted.
  • Quantity. The volume you intend to order, and whether the first order is a trial or a production run.
  • Packaging. 190 kg steel drums, 25 kg drums or 1 kg bottles, plus any pallet or labelling requirement.
  • Destination and terms. The delivery port and the trade term you expect, so freight and documents can be costed.
  • Documentation. Which documents your QA function needs: specification, TDS, batch COA, and any compliance file.
  • Timeline. When the material is needed, and whether a sample must be approved first.
  • Application context. How the material will be used. This is the item buyers omit most often, and the one that most often changes the recommended grade.

Quantity and Sample Strategy

The minimum order quantity is 1 kg for MCT Oil, MCT Powder and Specialty Esters, so a first enquiry does not need to commit to volume. Samples are available in 1 kg or 20 kg quantities, and custom sample quantities can be evaluated against the requirement.

The practical question for the RFQ is different: is this enquiry for a sample, for a trial production order, or for a recurring supply contract? Telling the supplier which stage you are at lets them quote the right thing. A sample enquiry answered with a full price list, or a contract enquiry answered with a sample price, wastes a round trip on both sides.

Specification and Grade Details

If you already have a specification, attach it. A written specification converts the conversation from "what can you do" to "can you meet this", and it is the document every later batch certificate is judged against.

If you do not have one, say what the material is for and the market it will be sold into. A beverage application, a pharmaceutical excipient use and a cosmetic emollient do not need the same grade, and a supplier who knows the application can propose the specification instead of asking for it. Packaging and Logistics Information

Packaging affects price, lead time and freight cost, so it belongs in the first enquiry rather than the third email. Standard export packaging is the 190 kg steel drum; 25 kg drums and 1 kg bottles are available for smaller quantities and sampling programmes. For drum shipments, four drums per pallet, stretch-wrapped, is the standard configuration.

Telling the supplier the destination port and the expected trade term at the enquiry stage also removes a round of questions, because inland haulage and documentation differ by destination.

Documents to Attach or Request

A good RFQ does two things with documents: it asks for the ones you need, and it attaches the one you already have. The specification you are buying against is the most useful attachment a buyer can send. In return, ask for the specification sheet, the TDS and a recent batch COA so the quotation and the quality picture arrive together. Common RFQ Mistakes

  • No grade. "MCT oil, best price" cannot be quoted accurately, because the grades are priced differently.
  • No quantity or stage. Without knowing whether it is 1 kg or a container, the supplier cannot choose the right packaging or freight basis.
  • No destination. Freight, documents and lead time all depend on it.
  • No application. The supplier may quote a grade that is technically compliant but wrong for the use.
  • Everything by phone. A quotation that was never written down cannot be checked against the batch COA later.

FAQ

Can I get a quotation before choosing a grade?

Yes, but the quotation will be indicative. Give the application and the C8:C10 ratio you are considering and the supplier can quote the most likely grade, with the caveat that the final specification decides.

What is the minimum order quantity for a first order?

The minimum order quantity is 1 kg for MCT Oil, MCT Powder and Specialty Esters. Samples are available in 1 kg or 20 kg, and custom sample quantities can be evaluated.

How fast is the lead time?

Regular orders ship 7 days to port of departure. OEM and ODM orders are 30 days from order confirmation. Ask for the lead time against your destination port in the RFQ.

Should the RFQ mention payment terms?

You can state your expectation, but the payment terms are agreed upon according to the contract between both parties, so they are settled during contracting rather than at quotation.
